Overview
By default in Dock, reps can see all workspaces and accounts created by other people, so everyone can learn from each other's work. There are guardrails in place so reps can't edit workspaces they don't own, but they can view them all if they filter their workspace dashboard to see "All workspaces."
Access rules are set by Admins and apply to Standard users. They allow you to hide workspaces, accounts, and slides from reps who aren't directly involved with them.
How Access Rules Work
Each rule is a separate toggle, so you can turn on only the ones you need. All three are off by default.
Rule | When it's turned on |
Limit workspace visibility to workspace team members | Reps only see workspaces where they're listed as an owner or editor. Other workspaces are hidden. |
Limit account visibility to workspace team members | Reps only see accounts where they're an owner or editor on at least one of that account's workspaces. |
Limit slide access to slide owners | Reps can only see and use slides they own. Slides owned by other team members are hidden. |
💡 We recommend you leave these rules off if your team gets value from seeing each other's work.
Turning On Access Rules
Step 1: Open Settings, under Admin.
Step 2: Under Organization in the left nav, click Access rules.
Step 3: On the Visibility page, find the rule you want under Workspaces, Accounts, or Slides.
Step 4: Click the toggle next to the rule to turn it on.
Before You Turn On Workspace Visibility Limits
If your team uses connected workspaces, for example a sales room that's handed off to Customer Success for onboarding, the workspace rule changes how handoffs work. Once it's on, team members can't see a workspace until someone adds them to it.
To keep handoffs smooth, we recommend you enable your reps to add the right teammates under their "Share" settings as part of their process, such as adding the CS owner before the handoff. Otherwise, the next reps won't be able to find the initial workspace to add their portion to.
