How to share a Workspace and Workspace settings

How to Share a Workspace

Workspaces are meant to be shared with customers or prospects. To give access, follow the steps below:

Step 1: Navigate to the Workspace.

Step 2: In the top right, click the Share button.

You can do this from any view (internal, editor or shared)!

Step 3: Grab the link or add people/domains!

Adding people and domains

By adding emails and domains, you're able to provide access and share the workspace with specific groups of people and also specify their role (i.e view-only, collaborator, or commenter access).

Once you add a person, you'll have the ability to send an invitation notification message. You'll also have a drop-down to update their role. Learn more about each role here!

Dock Tip: If your access setting is Anyone with the link (our default), then you don't need to add in specific emails or domains to this list. You can simply copy the link and share it with them. Any person who accesses the link will then automatically be a "collaborator."


Access Controls Explained

Dock has different levels of security for Workspaces depending upon your needs. Access controls can be changed by going through the share flow above via the General access dropdown.

Anyone with the link

This means that anyone can get access to the Workspace, regardless of whether they are listed on the people/domain list. This is our default setting.

Keep in mind, to get access to the Workspace the user will still need to input their email.

This allows the Workspace owner to receive notifications and track who is interacting with the space.

Restricted Email

This setting is the most secure option for workspace access.

Default Setting for Restricted

The default setting for Restricted Email is to only allow people or domains in the list can access the workspace.


When someone who is not on the list tries to access the workspace, they will see a message to contact the workspace owner.

Verify via Magic Link

Magic link verification will ensure that the person who inputs their email to view the workspace actually owns that email. When a person adds their email, they will be sent an email to verify email ownership.

After verifying ownership, the user will be able to access the workspace.

Verify via Google Sign In

Google Sign in verification will present the option to "log in" to the Workspace via Google.

Passcode Protection

Add a passcode to give another layer of security to Workspaces.

Landing Page

The landing page mode is best used for one-to-many workspaces.

Keep in mind the following when selecting this option:

  • Anyone can access the workspace without inputting their email.

  • All analytics become anonymous.

  • Comments & Message capabilities are removed.

  • Tasks can no longer be updated in the shared view.
