How to create and customize the settings of Checklists in a Project Plan

Overview

When adding a section of content to a Workspace, you have the ability to create a Project Plan Checklist (under Widgets):

These checklists are composed of tasks and can be helpful in assigning out responsibilities or tracking a "to-do" list of sorts.

They are highly customizable — you can assign ownership, update the status of that item, and add a due date that sends out notifications automatically.

In the guide below, we'll walk you through how to create a Checklist and the various settings.


Adding the Checklist

Step 1: Create a new section of content as a Project Plan Checklist.

Step 2: Add a Title and your first "to-do" by clicking +Add a task.

Step 3: Click on Details or the title of the task to expand the settings.

Internal Tasks

Toggling on Internal designates that task as internal only and hides it from the Shared view. There will be a big yellow banner that appears to flag this if it's selected.

Statuses

Here you can set the different status options for the task.

The default statuses are:

  • To-Do

  • In-Progress

  • Completed (Noted: this is a status that can't be changed. It signifies that the Task is checked off (i.e. completed).

You can also create custom statuses by clicking Edit statuses.

Start and Due Dates

Select the start/due date for the task using the calendar picker. You can do this manually, or configure relative due dates. Check out more information about relative start and due dates here!

Assignees

Set the team/person responsible for completing the task.

  • Select Teams if you don't know the exact person for the role.

  • Select People based on folks who have been shared the workspace.

  • Select +Enter an email to assign any email the task.

Sending a notification to Assignees

To send a notification after you've added in emails, click on the message icon on the top right.

Action Buttons

Create call-to-action buttons to make it very clear the action that you'd like to take.

Dock has three different types of action buttons:

External links

External link action buttons are designed to be flexible. You can give the button any title you want and link to any external link.

File Download

With File Download, upload files that you want the external person to download.

Here's an example of downloading the file in the Shared view:

This option makes it easy to request files that you need from customers.

Descriptions

Descriptions support rich text editors and embedded content (just like the rest of the Workspace).

Subtasks

Subtasks operate the same as Tasks, and are nested within a Task. Click on the arrow to the left of the parent task to expand and Add subtask.

Duplicating and Deleting Tasks and Subtasks

To duplicate or delete a task, click on the ellipsis (...) to the right of the task and then select an option from the dropdown.
