Share settings: restricting access of pages in a Workspace

Overview

When you share a workspace externally with a prospect or client, they can (by default) view any public-facing pages. Depending upon the content, you may want to control who can view a page and limit that to certain person(s) or email domains. This allows you to restrict certain information to specific individuals.

For example, I have built a customer portal for my client, Hooli. One page I have configured for them is for executive reporting dashboards. Since this has more private executive-facing information, I want to share it only with certain executive contacts rather than all of the admins.

In the guide below, we'll walk you through how to configure these permissions by page.


Configuring Control Access Permissions

Step 1: Navigate to the workspace in question.

Step 2: Make sure you are in the editor tab found on the top nav bar.

Step 3: Click on the ellipsis (...) to the right of the page name.

Step 4: From the drop-down, click πŸ”’ Control Access.

Step 5: Type in an email domain or add an email address (you can add as many as you'd like).

Step 6: Click Done. Pages with controlled access will have a lock symbol.

Please note, if you do NOT set the control access settings for a page, it is by default visible to all viewers of the workspace.
