How to approve, decline, or comment on order forms as a rule approver

Overview

If you are named as a rule approver, you'll be prompted to approve or decline terms on an order form before it's allowed to be sent out. This allows for another set of eyes on a contract before the customer or prospect is asked to sign.

In the article below, we'll walk through the approval workflow and how to approve, decline, or comment on requests.


Approval requests are submitted by the rep

The first step here is that the rep will generate an order form and request approvals. The system will automatically identify approvers and send them a notification.

'Approval Request' notification is sent

The approver is notified to view the order form and sign off on requests.

Approving or Rejecting a Request

As you review the order form, you'll see a list of any items pending approval. You will only be able to respond to the items assigned to you.

To the right of an item, click Approve or Reject.

If you click into an item, you can also approve or decline it from there, as well as start a comment thread.

Once all requests are approved, the rep will then be prompted to send the order form out for signature!

Commenting on a request

If you're looking to clarify an item, you can tag the rep in a comment to start a conversation thread.

What happens if I decline a request?

Declining an approval request immediately sends that order form back to the rep to make any adjustments. They can then re-submit it for approval once they're ready.

If an edit is made to an order form, the rep must re-submit the entire thing for approval. This means approvers may be prompted to respond to the same request even after they've initially approved it.

Viewing Outstanding Requests

From your Dock homepage, you can leverage the Deal Desk view to quickly see the status of each order form. If you don't see this view, you can add it by following the instructions here!

Click into the "Order Form" column to automatically be taken to it.

If you click into a workspace, you'll see any outstanding requests flagged at the top:

Can I approve on someone else's behalf? Or re-assign my approver rights?

Currently, you can only approve requests that you are specifically assigned as part of an approval workflow. You cannot approve other requests, even as a one-off. You also cannot re-assign your request to another approver. For this reason, we suggest admins creating rules add multiple approvers.
