Building a Sales Quote

How to create and publish a price proposal

Overview

In the article below, we'll guide you through how to create and publish a pricing proposal within your Workspace. This is valuable if you'd like to share pricing with your customer or even turn it into a formal order form to send for signature.

Before you start building sales quotes, we strongly recommend that your Admin creates your product library and sets up any relevant terms or legal settings to help streamline processes.

Starting a Sales Quote

Step 1: Within the desired page and desired Workspace, click Add section

Step 2: Select or search for Sales quote

Step 3: Select Add Product to start to enter the Sales Quote Builder

Sales Quote Builder

The sales quote builder is how you actually create different pricing quotes for your customers.

Builder Layout

When you start creating pricing quotes, here's what you'll see:

Sales Quote Name, Billing Frequency, and Sections

Step 1: Add a title to your overall proposal by double clicking on the tab at the way top and typing in-line:

Step 2: Select a Billing Frequency from the drop down (one-time, monthly, quarterly, or annual).

Step 3: Name the individual pricing option by clicking in-line.

To add additional price quote options, click on Add option to enter into a new sales quote builder. This is especially useful when customers are comparing between multiple different products/packages or billing frequencies.

Adding Products to the Sales Quote

Step 1: Click + Add line item

  • Custom line item lets you start from scratch

  • Product Library allows you to select from a pre-established product catalog (managed by the Dock admin)

Adding Products from the Product Library

Step 1: Select Product Library from the + Add line item.

Step 2: Search or Scroll to find the desired item and click to select.

💡 Dock Tips:

  • Only products of the same billing frequency can be added to the same pricing quote. For example, you can't combine an annual product with a monthly product.

  • "One-time" products can be added alongside any other billing frequencies. For example, you can have an annual product, but then also add a "one-time" implementation fee.

Adding Custom Line Items

While we recommend that you use the Product library, we also understand that there are use cases where you need to add a custom line item to a price quote.

Custom line items offer more options than library items — you're able to adjust the typical inputs, but then also select the billing frequency and pricing model, all inline.

Step 1: Select Custom line item from the + Add line item.

Step 2: Enter the product name, billing frequency, quantity, unit price, pricing model, and any associated discounts.

Please note, Custom Line Items only work for Per Unit & Flat Fee pricing models. Tiered & Volume based pricing require setup from within the product library.

Editing Line Items

To edit a line item, click directly into the relevant cell in the table. Product name, Quantity, and Discount are all editable inline.

The available fields will have slight adjustments based on the pricing model. For example, flat fee pricing doesn't have a quantity option, since the quantity is always one.

Additional Options

Click on the ellipsis (...) of the line item for additional options, such as:

  • Duplicate a line item

  • Add a description

  • Exclude the line item from the total

  • Remove the line item from the quote.

Click on the ellipsis (...) of the corresponding line item to make your selection.

Resizing Columns

Hover over the right edge of the column header until you see the resize handle, then click and drag left or right to adjust its width.

Showing or Hiding Columns

To show or hide columns on a price table — like Billing Frequency, Pricing Model, or Discount — use Edit Columns on the right-hand side of the table. Only the columns you've chosen to show are editable in the table.

Re-Ordering Line Items

To re-order line items, simply grab, drag, and drop the line item.

Adding Discounts and Taxes in Price Quotes

Line-Item Discounts

To add a line-item discount, enter a % or dollar-based discount directly in the Discount column for that line item.

This will automatically update the Unit Price and Total Price to the new numbers. We'll keep the List prices, but scratch them out. The Discount column (if you choose to show it) will also show the total amount of the discount.

Total Discounts & Taxes

You also have the ability to add a discount or taxes to the overall price quote table.

Step 1: Select Add Discount and/or Add Taxes in the Total Table.

Step 2: Choose % or $ and enter amount.

❗️Not seeing Add Discount or Add Tax? These options are hidden for accounts with a CRM sync enabled (Salesforce or HubSpot). Since Dock pushes line items directly to your CRM when an order form is sent, the total amount isn't editable at the table level for synced accounts.

Creating Multiple Price Sections

Sections allow different products with various pricing and billing models to be on the same quote. For example, let's say you have an annual product, but also have a one-time implementation fee that you want to break out from one another.

Here's what this would look like in the pricing quote:

  • The first section shows all recurring annual line items.

  • The second section lists the one-time implementation fee.

  • The third section is a total summary of the "recurring" total and the "one-time" total to show the overall total.

Adding a New Section

To add a new section, select + Add section.

Re-order Sections

To re-order the sections, click on the ellipsis (...) in the top right corner of the section to move. Select Move up or Move down.

Managing Quote Terms

The Terms section is where you set the contract, billing, and legal details — things like contract length, payment terms, and marketing rights.

💡 Dock Tip: Admins can pre-configure some of these terms in Settings, including which ones are visible by default and which values are pre-selected. You may see certain terms already filled in when you get here.

Editing Terms

You can edit each line directly within the quote builder or select Edit Terms in the top right corner of the Terms section to see all options in one block.

  • Contract length - Sets how long the agreement runs, such as Annual. If your admin has enabled it, you can also choose Custom to manually set both the start and end dates instead of having them calculated automatically.

    • Click into the field, make your selection and click Done.

  • Contract dates - The agreement's start and end dates, shown as a date range (for example, 08-31-2026 → 08-30-2027). The end date is calculated automatically based on the start date and Contract length — or you can select Use the signature date to have the start date set automatically once the final signatory signs.

    • Click into the field, submit new dates or select Use Signature Date, then click Done.

  • Billing start date - Determines when billing kicks in relative to the agreement, such as At Payment.

    • Click into the field, choose At Payment or Custom Date, then click Done.

  • Billing terms - Defines what happens once the contract term ends, such as Auto-renew until cancelled.

    • Click into the field, choose Auto-Renew until cancelled, Fixed number of payments, or Not auto-renew, then click Done.

  • Payment term - Sets how quickly payment is due after invoicing, such as Due Upon Receipt.

    • Click into the field, choose desired option from the dropdown menu, and click Done.

  • Payment methods - The accepted way(s) the customer can pay, such as ACH.

    • Click into the field, select Credit Card, ACH, or Direct Deposit, then click Done.

  • Documents - Lists any legal documents attached to the agreement. Click + Add document to attach a standard document or upload a custom, red-lined agreement specific to this customer.

Note: any standard documents your admin has pre-loaded will already appear here — you can keep or remove them as needed.

    • Select + Add Document, then select from Add URL, Upload PDF, or Choose from Library.

  • Marketing rights - Lets you select which marketing rights the customer is granting: Logo, Quote, or Case Study. Whichever option is selected will appear as a term on the signed order form.

    • Select Logo, Quote, and/or Case Study.

  • Additional terms - A free-text field for adding any extra language to the agreement that isn't covered by the terms above. Note: your admin controls whether reps have access to the Additional Terms field.

    • Type message in the free-text field.

Completing the Pricing Quote

Once you are ready to share the pricing quote, click Publish at the top of the page to make the quote visible in the Workspace. Buyers with access can view it as soon as it's published.

Not yet ready to share? Save a draft to finish later by clicking on Save for later.
