Managing Your Content Lifecycle

Set up rules to govern which library assets are visible to your team

Overview

Dock's Content Lifecycle setting gives admins governance controls over the content library based on each asset's Status field. Use it to:

  • Surface what needs attention. Content that's flagged as Expired stays in your library but drops out of view for non-admins, so your team knows at a glance what needs a refresh — without deleting anything.

  • Control what reps can share externally. Since visibility is tied to status, you can make sure only Approved content is available for reps to find and share with prospects and clients, keeping unreviewed or outdated material out of external hands.


Understanding the Status Field

Every asset in your library carries a status:

Status

What it means

Draft

New or in-progress content that hasn't been reviewed yet

In Review

Content currently going through an approval process

Approved

Reviewed content that's ready to be shared

Expired

Content that's aged out or needs a refresh

Archived

Retired content you're no longer actively using

Content Lifecycle rules are built entirely around these five statuses.


Getting Started

Step 1: Start from the Library homepage

Step 2: Click Manage on the top right

Step 3: Navigate to the Content Lifecycle sub-tab

Setting Asset Visibility

This section controls which statuses Standard users (non-admins) can see in the library and what Dock AI can reference when answering questions or recommending content:

Check or uncheck the box next to each status to control whether it's visible to non-admins:

  • Draft, In Review, and Approved are visible by default.

  • Expired is hidden by default, but you can check the box to make it visible.

  • Archived is locked to Never visible — this one can't be toggled on, so archived content can never resurface to non-admins by accident.

💡 Dock Tip: If you want to make sure only fully vetted content reaches reps, we recommend you uncheck Draft and In Review and leave only Approved checked. That way, unapproved assets simply won't show up for non-admins to find or share externally.

As a reminder: These visibility settings only affect non-admins. Admins can always see assets regardless of status.


Setting a Default Status for New Content

This section determines the status automatically applied to any new asset added to the library.

Open the dropdown (set to None by default) to select the status you want new assets to start with.

💡 Dock Tip: Setting this to Draft is a good way to make sure newly added content stays out of reps' hands until someone reviews and approves it. This can be especially useful if you have multiple people uploading to the library.


Automating Status Changes

The Lifecycle automation section lets you create rules that move assets between statuses automatically instead of updating them by hand.

Step 1: Under Lifecycle automation, click New automation.

Step 2: Configure the rule to fit how your team wants content to move through its lifecycle.

Examples:

  • Automatically flagging content as Expired after a set period of inactivity

  • Auto-archive content if it's expired
