Overview
Admins in Dock can have workspaces automatically created and published based on fields in HubSpot or Salesforce. Please note: workspace owners will still want to explicitly share the space externally, as this feature only helps with the creation of workspaces.
In the article below, we'll walk through the steps for how to configure these settings.
π In order to use this feature, you'll need to have Dock integrated with HubSpot or Salesforce.
Create & Map Fields from CRM
First, make sure that you have created and mapped fields you'd like to reference.
These must be created on the Deal/Opportunity or Company/Account object.
Create an Automation Rule
Step 1: Navigate to your Settings > Automation Rules (under Objects).
Step 2: Click the New Rule button.
Name the rule
Name your rule at the top of the screen. This should be something you can recognize later on.
Choose the template you're looking to create a workspace from
From the dropdown, click Choose:
Make a selection from the workspace templates in your account.
Add in the workspace owner and/or editors (or user field)
Click "And" to add in any workspace owner and/or editor fields. These can be users within your Dock instance or a user field from your CRM.
The user field email in your CRM needs to match a user field email associated with a Dock profile. If they do not match or if it doesn't exist then the workspace will not be created.
Set the condition parameters
Decide "when" this action should take place based on opportunity and/or account fields.
From the dropdown, select Opportunity/Deal or Account/Company. You'll then have a drop-down of any fields associated with those objects in Dock. If the field you are looking for doesn't exist, make sure it's been added and mapped.
Once selected, you'll have an additional option to clarify what the state or value should be.
From there, you can add in any other additional "and" conditions or an "or" condition.
Managing Automation Rules
To view all rules, navigate back to your Settings > Automation Rules.
Toggle a rule to move it between a draft and active state. Drafted rules will not trigger any workspaces. You can also remove a rule entirely by archiving it.
